Syllabi Repository User Guide

About

The H&S Syllabi Repository System is used to dynamically populate syllabi lists each semester.
Uploaded syllabi will be automatically displayed on departmental websites and the H&S website.
Using the system meets the requirements of the H&S Syllabi Policy.

Permissions

Individual users must be added to the system.  Ideally, departmental Administrative Assistants or Web Managers collect and upload syllabi for the department or program. 

To add individual users for your department, please contact your departmental Administrative Assistant.

System Roles

  • Administrator: Can create folders and grant permissions to other users. 
  • Writer:  Can upload/edit files in the folder and subfolders to which they are assigned.
  • Reader: Can view/download all files.

Adding Syllabi

Before the beginning of each semester, SFD will create new folders for syllabi and make necessary connections to websites.

It is recommneded that you rename all syllabi files using suggested naming conventions before uploading.
As always, avoid using all caps in file names and document titles.

To upload syllabi, follow these steps:

  1. Go to the Syllabi Repository System.
  2. Click "NetID Login".
  3. Log in.
  4. Select the appropriate semester folder.
  5. Select the  "Add Syllabus to 'Semester 20--'" button from the options on the right.
  6. Complete and submit the form and upload the syllabus.
  7. Repeat this process for each syllabus.

Removing and Replacing Syllabi

You may remove a syllabus from the system completely or in order to replace it with a new version.

To remove a syllabus, follow these steps:

  1. Select the appropriate semester folder.
  2. Select "View File" to the right of the syllabus you wish to remove. 
  3. On the next screen, select the red "Delete" button.
  4. The file will be deleted, and it will no longer appear on the website.

You may now upload a new version of the syllabus, using the process for adding a syllabus.

Editing Syllabus Information

If necessary, you may edit the information you have entered for a syllabus (title, course number, instructor, etc.)

To edit syllabus information, follow these steps:

  1. Select the appropriate semester folder.
  2. Select "View File" to the right of the syllabus you wish to edit. 
  3. On the next screen, select the blue "Edit" button.
  4. Submit your changes.
  5. Changes will appear on the website.  (If you do not see your changes, refresh your browser.)
